Completing Spreadsheet and Document Questionnaires

Vanta Questionnaire Automation provides tooling for completing various types of questionnaires. In this article, we’ll walk through how to complete a spreadsheet questionnaire.

Uploading a spreadsheet questionnaire

  • Go to Questionnaires and click + Add questionnaire.

  • Fill in the company URL, questionnaire name, set the questionnaire type to file, and upload the spreadsheet file. You can optionally fill any other fields. Click Continue.

  • Click Suggest answers. The process to extract questions and suggest answers has now started.

  • Click on the questionnaire from the table to view the suggested answers.

Uploading a document questionnaire

  • Go to Questionnaires

  • Click + Add questionnaire

  • Fill in the questionnaire name

  • Select Document for the questionnaire type and upload the document file

  • You can optionally fill any other fields

  • Click Continue

  • The process to extract questions and suggest answers has now started

  • Click on the questionnaire from the table to view the suggested answers

Attach Documentation To Your Questionnaire Responses

You can attach supporting documents directly to your questionnaire responses. This helps you keep all required evidence in one place before completing or exporting the questionnaire.

To attach a document, look at the bottom right corner of the answer field while you are responding to a question. A paperclip icon appears next to the text box. Select the paperclip to link an existing file from your Vanta knowledge base or upload a one time document for this questionnaire.

When you export the finished questionnaire, Vanta provides a zip file that includes both the completed questionnaire and all attached documents.

Reviewing answer sources and making changes

  • Click on the questionnaire from the table to view the suggested answers.

  • Click on an answer in the list to see where it came from or make changes.

  • If answered by Vanta AI

    • Click References to see which parts of your knowledge base created the answer.

  • If the answer was matched from your answer library

    • Click More Details to see when the answer was added and where it came from.

  • Optionally click Select answer on any other suggestion to use as the current answer.

  • Optionally, write a new answer by editing the Current answer field.

  • All changes are saved automatically

Collaborating on questionnaires

Marking the questionnaire as complete

Before marking the questionnaire as complete, all answers must be marked as approved. Only approved answers will be imported back into the answer library for future use.

  • In Vanta, open your questionnaire

  • Click Mark as complete in the top right corner

  • Optional: Sync any new or updated answers to your answer library

Sharing the completed questionnaire

  • For spreadsheets

    • Click Export in the top right corner.

    • Click either Export original format or Export (.csv).

  • For documents

    • Click Export (.csv).

    • Click either Export original format or Export (.csv).
