Overview

The ClickUp integration connects your ClickUp workspace(s) to Vanta via OAuth, enabling us to monitor compliance-related tasks and workspace members as part of your security program. This integration is most useful for teams that:

  • already use ClickUp to track security, compliance, or IT operations work

  • want Vanta to automatically evaluate task-based controls without manual evidence uploads

  • want to create and assign remediation tasks in ClickUp from within the Vanta interface

Use cases and capabilities

  • Task Management: Create or link ClickUp tasks directly from Vanta tests and controls. Once linked, we sync each task's status automatically. When a task is marked Done or Closed in ClickUp, that status is reflected in Vanta without manual updates.

  • Priority Sync: Task priority set in ClickUp is automatically carried into Vanta. ClickUp's priority levels map to Vanta's priority tiers: Urgent → P0, High → P1, Normal → P2, Low → P3.

  • User Account Tracking: Connect a ClickUp workspace and we automatically sync all workspace members, including their role and workspace join date, to support personnel tracking and access review workflows.

  • Automated Comment Updates: When you create a ClickUp task from Vanta, we can post automated comments to that task to keep context current for teams working in ClickUp.

Prerequisites

Before starting setup, confirm the following:

  • You have a Vanta admin account.

  • You have a ClickUp account with membership in the workspace you want to connect. We connect via OAuth and inherit the permissions of the account you authorize with, so if that account can view tasks and members and create new tasks, we can do the same. For full workspace coverage, we recommend connecting with an Owner or Admin account.

    • We read tasks, tags, workspace members, and task attachments from your connected workspace.

    • We create tasks and post comments in ClickUp in two ways: when you initiate those actions from the Vanta interface, and automatically when Vanta syncs task attachments.

    • If the connecting account has limited access to certain spaces, lists, or tasks, we can only see and interact with what that account can access.

  • The connecting account must have access to the workspace-level team in ClickUp, as Vanta traverses the full workspace hierarchy (Teams → Spaces → Folders → Lists) to locate tasks and members.

  • Tasks that we should monitor must be tagged with specific tags. These tags are configured in our task tracking labels (see Setup Guide below). If no tags are configured or no tasks match those tags, we will not pull any tasks.


Setup guide

Step 1: Find the ClickUp integration in Vanta

  • In Vanta, go to Integrations.

  • Search for ClickUp in the Available tab.

  • Click View Details and then click Connect.

Step 2: Authorize the connection

  • In the ClickUp Connections modal, click Add Connections.

  • In the Authorize Vanta modal, click Connect ClickUp.

  • Vanta redirects you to ClickUp’s authorization page.

  • Log in with the ClickUp account you want to use for this connection.

⚠️Important: For full workspace coverage, connect with an Owner or Admin account.

  • You will need to select the workspace or workspaces you want to connect and then click Connect Workspaces.

  • ClickUp redirects you back to Vanta automatically.

Step 3: Configure task tracking tags

  • Locate the ClickUp integration under the Connected tab.

  • Click Manage and then select Task tracking labels.

  • Enter the tags that identify tasks we should monitor, for example, tags for security tasks, incident management, access offboarding, and vendor procurement.

  • Click Save.

ℹ️ Note: If your organization uses multiple ClickUp accounts, you can add additional connections from the same integrations page. Each connection is authorized separately and tied to a specific ClickUp user account. To connect another account, go to Integrations > Connected > ClickUp > Manage > Edit > Add Connections.

Write access

We have write access to your ClickUp workspace and use it in two specific situations:

  • Creating tasks: When you create a ClickUp task from a Vanta test or control, we post the task to your ClickUp workspace on your behalf.

  • Posting comments: When certain events occur in Vanta related to a linked task, we post an automated comment to that task in ClickUp.

We do not modify, reassign, or delete existing ClickUp tasks, lists, or user data.


Troubleshooting and FAQs

No tasks appear in Vanta after connecting

  • Likely cause: The tags configured in Vanta's task tracking labels do not match the tags applied to tasks in ClickUp, or no tags have been configured yet.

  • How to confirm: In Vanta, review your task tracking labels. In ClickUp, check that at least one task carries a tag that exactly matches a configured tag in Vanta (ClickUp matches tags case-insensitively but should otherwise match exactly).

  • Fix: Update your Vanta task tracking labels to match the tags you are using in ClickUp, or add the correct tags to the relevant ClickUp tasks. Wait for the next sync to complete.

Workspace members are missing from Vanta account inventory

  • Likely cause: The ClickUp account used to authorize the connection does not have access to the workspace-level team, or the account has restricted visibility into certain spaces or guest members.

  • How to confirm: Log in to ClickUp with the authorizing account and confirm you can see all workspace members in the Members or People settings.

  • Fix: Re-authorize the integration using a ClickUp account with broader workspace access. Owner or Admin level is recommended for full coverage.

The integration appears disconnected

  • Likely cause: The ClickUp account used to connect has been deactivated, had its permissions changed, or the OAuth token expired or was revoked.

  • How to confirm: Check whether the ClickUp account used to authorize is still active and has workspace access.

  • Fix: Re-authorize the integration from Vanta's integrations settings by clicking Connect and completing the OAuth flow again with an active account.

Tasks created from Vanta don’t appear in the expected ClickUp list

  • Likely cause: During task creation in Vanta, the wrong list was selected, or the connecting account does not have write access to that list.

  • How to confirm: In Vanta, check the linked task record to see which list the task was created in. In ClickUp, search for the task by name across all lists.

  • Fix: Verify the connecting ClickUp account has write access to the intended list. If the task was created in the wrong list, it can be moved within ClickUp. Future tasks can be created in the correct list by selecting it carefully in the Vanta task creation flow.

Priority isn’t syncing correctly for some tasks

  • Likely cause: The task may have no native priority set in ClickUp. In that case, we check the task's tags for priority labels (p0–p4) and uses the highest priority found among those tags.

  • How to confirm: In ClickUp, check whether the task has a native priority field set. Also check its tags for any p0–p4 tag values.

  • Fix: Set the priority directly on the task in ClickUp using ClickUp's native priority field. This takes precedence over tag-based priority detection.
