Completing Spreadsheet Questionnaires

Vanta Questionnaire Automation provides tooling for completing various types of questionnaires. In this article, we’ll walk through how to complete a spreadsheet questionnaire. 

Uploading the questionnaire 

  • Go to Questionnaires
  • Click + Add questionnaire

  • Fill in the company URL, questionnaire name, set the questionnaire type to file, and upload the spreadsheet file
  • You can optionally fill in a due date, owner, or description. All of these fields can be edited later
  • Click Continue
  • Match the proper question and answer columns
  • Click Suggest answers
  • The process to extract questions and suggest answers has now started.
  • Click on the questionnaire from the table to view the suggested answers

Reviewing answer sources and making changes

  • Click on the questionnaire from the table to view the suggested answers.
  • Click on an answer in the list to see where it came from or make changes.
  • If answered by Vanta AI
    • Click References to see which parts of your knowledge base created the answer.
    • Optionally deselect references and click Regenerate answer to create a new answer.
  • If the answer was matched from your answer library
    • Click More Details to see when the answer was added and where it came from.
  • Optionally click Select answer on any other suggestion to use as the current answer.
  • Optionally, write a new answer by editing the Current answer field.
  • All changes are saved automatically

Approving answers

Approving answers is an essential step while completing questionnaires to ensure the responses shared externally are accurate and thorough. You can use the answer approval process to enable customer-facing team members to take a first pass at the questionnaire and then assign it to a subject-matter expert for final approval. All answers should be approved before the questionnaire is complete. Only approved answers will be imported back into the answer library for future use.

To approve answers

  • Click the approval check in the row for each answer

Marking the questionnaire as complete

Before marking the questionnaire as complete, all answers must be marked as approved. Only approved answers will be imported back into the answer library for future use.

  • While viewing a questionnaire, click Mark as complete in the top right corner.
  • Optionally select to sync new and updated answers to the library for future use.

Sharing the completed questionnaire

  • While viewing a questionnaire, click Export in the top right corner. 
  • The questionnaire will be downloaded in the original format with the answers in the correct cells.
