The effective date represents when a document goes into effect and is used to determine when it will need to be renewed.
When uploading documents to a draft, you’ll be prompted to confirm the effective date before completing the upload. You can also update the effective date later if needed.
After you finalize a document, auditors will only be able to see it after the document is marked as complete.
Uploading documents
When adding a file to a draft, you’ll be asked to confirm the effective date before completing the upload. Files are added in a draft state so you can review details before submitting.
To choose an effective date when uploading a document:
From the Documents page, click Needs document to filter the table.
Open a document and go to the Evidence tab. Your experience may differ:
Add files to start a draft
Click Renew to start a draft
Add files to an existing draft
Click Upload, Add URL, or Import to add a document or link.
In the Set document details modal, choose an Effective date.
Click Upload.
Editing draft documents
To update the effective date of a draft document:
From the Documents page, click Draft to filter the table.
Open a document and go to the Evidence tab.
In the Draft section of the document, click the ✎ pencil icon next to the file.
Choose an Effective date.
Click Save.
Document renewal dates
The effective date determines when the document expires and when the next renewal is due. Updating the effective date will automatically update the document’s renewal date.
The effective date reflects when the document is considered valid, not the upload date.
